Custom Development
Run procurement in one place.
Vendor Portal is software we built for the way you buy from suppliers. Vendors register, find key dates and submit documents online. You send requests for quotation (RFQs) to the vendors you choose, receive their quotes and open sealed bids in the portal.
See what it does.
Six features in one portal, from a vendor's first registration to the opening of their bid, with every step kept in the same place.

Online registration
Your vendors open their own accounts online.
Once you have registered a business as a vendor, it signs up for portal accounts online. Each vendor can have several: a shared mailbox for the team, or an account for each of its sales staff.
What it gives you
- Accounts opened online by vendors you have registered
- Several accounts for each vendor
- A shared mailbox or one account per salesperson
Where it helps
- Bringing a newly approved vendor online
- Vendors with several sales staff
- A vendor's team sharing one mailbox

Information & key dates
Everything vendors need to know, and when.
All the information vendors need is on the portal, including important dates such as information sessions, so they always know what is coming up.
What it gives you
- Procurement information in one place
- Important dates, such as information sessions
Where it helps
- Announcing an information session to every vendor
- Vendors checking dates on their own
- Fewer calls and emails asking for details

Document submissions
Submit online, and cut the paper trail.
Vendors submit their documents through the portal instead of on paper, so each submission lands in one place for your team.
What it gives you
- Documents submitted through the portal
- Less paper to handle and store
Where it helps
- Collecting vendor documents
- Teams working through printed files
- Finding a vendor's submission later

RFQs & quotes
Ask the vendors you choose, and get their quotes online.
Issue a request for quotation (RFQ) through the portal and choose which vendors can see it. They reply with their sales quote in the portal, so every quote for a request is in one place.
What it gives you
- RFQs issued through the portal
- You choose which vendors see each RFQ
- Sales quotes sent back through the portal
Where it helps
- Inviting only selected vendors to quote
- Running several RFQs at once
- Quotes no longer scattered across inboxes

Bid opening
Sealed bids that only the vendor can unlock.
Vendors upload their bid as a password-protected file, so nobody can open it before the opening, not even you as the portal's owner. Bid opening is done through the portal, and at the time of opening each vendor gives the password directly.
What it gives you
- Bids uploaded as password-protected files
- Vendors give the password at the time of opening
- Bid opening done through the portal
Where it helps
- Formal tenders with a set opening time
- Showing vendors their bids stay sealed
- Openings with many vendors taking part

One source of truth
Every procurement step, on one record.
Registrations, information, documents, RFQs, quotes and bid openings all live in the portal, so your team and your vendors work from one source of truth for every procurement process.
What it gives you
- Every procurement process in one place
- The same information for your team and your vendors
Where it helps
- Reviewing past purchases
- A new team member picking up a procurement
- Answering "where are we on this?"
Is it right for you?
If any of these sound familiar, the portal can help. Tell us how you buy from vendors and we will tell you how it would fit.

Bring these answers to the first call
Rough answers are fine. They let us come prepared, so the first conversation is about your vendors rather than a form.
- How many vendors do you work with, and how many join each year?
- How many people at each vendor would need an account?
- How do you issue RFQs and receive quotes today?
- How do you keep bids sealed until the opening today?
- Which documents do vendors submit to you?
- Who in your team would look after the portal?
